Coronavirus

Cuckoo Barn lodge is a great place to get away from the Coronavirus pressures however to keep it that way we are implementing a flexible cancellation policy to deal with coronavirus risks when they occur.

We have acquired the industry standard "We're Good to Go - Visit England" which means our business has followed the Government and industry Covid 19 guidelines, has a risk assessment in place and a process to maintain cleanliness and social distancing.

A copy of our risk assessment and guidance to guests is available on request. Guests booking Cuckoo Barn Lodge agree to be bound by the government guidelines  and the guidance to guests contained in the risk assessment.

In order to comply and in the interest of the health and safety of all our guests, please answer the following questions before you arrive at Cuckoo Barn Lodge:

Does your party contravene any of the current government guidance or regulations?

Have you or anyone you have had contact with, been diagnosed with, or suspect that you may have contracted, Covid 19?

Have you or any members of your party any potential exposure to Covid 19 in the last 14 days that would fall within the Government guidelines recommending self-isolation?

Have you or any members of your party failed to comply with government guidance or attended any gathering where that guidance was not observed.

Have you or any of your party any of the key symptoms of coronavirus, which are high temperature, cough and breathing difficulties and a loss of taste?

If the answer to any of these circumstances is yes, please ring Dick Milton on 07768 708220 so that we may discuss the best way forward and if cancellation and refund is appropriate.

Similarly, should we as your hosts answer yes to any of the above it is agreed that it is in the interest of you our guests that we discuss cancellation and refund of the booking.

We are implementing additional hygiene procedures in the lodge to disinfect surfaces to reduce the risk of infection and ask guests to wash their hands thoroughly each time they come into the lodge and follow the recommended NHS guidelines to protect themselves and minimise the risk to others.

Please help us protect all our guests.

General

1 Your booking must be for holiday purposes only. The property must not be used for gatherings, such as weddings or parties (except by prior written permission) or for business purposes (except by prior special arrangement). Please note also condition 3.

2 The property will not be available before 3 pm on the first day of your booking and you should arrive before 7.00 p.m. unless we agree to accommodate a later arrival (additional charges may apply where special arrangements are necessary). You will be issued with one set of keys, which must be returned to the key safe, at the end of your stay. You must leave before 10 am on your last day to enable our cleaners to prepare for the next guests and a late check- out penalty payment of £50 plus £20 per hour will become payable if you fail to vacate on time unless prior written permission is given by the owner.

3 Excluding babies in cots, the number of people occupying the property and its grounds must not exceed the number of guests agreed at the time of booking up to a maximum of six. You may invite an additional two guests to visit you during your stay; however they must not stay overnight. We reserve the right to make a charge per person per day (whether or not they stay overnight) for each guest over the permitted limit at the Daily Rate.

4 No additional camp beds, tents, caravans or camper vans are allowed.

5 No smoking is permitted and you agree not to smoke or permit any visitors to smoke anywhere in or around Cuckoo Barn Lodge or Cuckoo Barn. We reserve the right to recover any additional cleaning charge resulting from a breach of this condition in accordance with Clause 26,27 and 28 subject to a minimum charge of £250.

6 You must not use the accommodation for any dangerous, offensive, noisy, illegal or immoral activities or carry on their any act that may be a nuisance or annoyance to the owners or their neighbors.

7 Cuckoo Barn Lodge is designed to give you privacy and you will respect the privacy of our neighboring home and garden at Cuckoo Barn. Where the additional facilities of Cuckoo Barn are made available to you by prior arrangement, such as the use of the Pilates Studio, garden, fields or the Breeze hut, an additional charge may be made.

8 You may bring up to two dogs (or other pets) by prior arrangement before the holiday commences. A Cautionary Deposit of £100 will be required to cover the costs of any damage or additional cleaning. Dogs and other pets must be kept off the furniture and under proper control and not left unattended in Cuckoo Barn Lodge. There are livestock, pets and wildlife in the area and your dogs must be kept under control and on leads.

9 No fireworks, Chinese or sky lanterns (or other lights or illuminations which have naked flames) shall be let off from the property (including any garden or grounds). You may use the Weber Pot barbecue provided so long as it is placed at least 2 meters from the Lodge or decking and it is not left unattended or out of control. Similarly candles must not be left unattended at any time. The wood burner must always be burned closed in accordance with the instructions in the handbook. A fire blanket and small fire extinguisher is provided in the event of a problem.

10 We have prepared a welcome pack of information about the lodge and things to do in the area for your convenience and enjoyment. This includes instructions for heating and hot water, the wood burning stove, barbecue, electrical appliances, smart TV and Wi-Fi. Please read and follow these instructions so that you get the best use and enjoyment from these facilities. If you need further information or guidance please ask.

11 Whilst the information on our website is correct at the time of publishing, we reserve the right to change any of the prices, services, or other particulars contained in published information at any time before we enter into a contract with you.

Contract and Warranties

12 Once we (Dick and Rosie Milton) have accepted your booking and payment, a contract has been entered into, which includes these Terms and Conditions and English law governs such contract. Payment of all required amounts when they are due is of the essence of the contract.

13 You as the person who made the booking do so on behalf of all members of the party and bind them jointly and severally to these Terms and Conditions and will not sell or transfer the booking to another party without our consent.

14 When you make a booking you warrant that you are over 18 years old and accept full responsibility for all persons who will use the property during the period booked and you have read and accept all the Terms & Conditions, Privacy Statement and Cookie Policy.

15 Any serious breach of these Terms and conditions may result in you being asked to leave without compensation or refund of any monies for your booking and charges for damage may apply (see Condition 26 below). Any minor breach may become a serious breach if not rectified promptly on request. A serious breach shall include where there are complaints of anti-social, unacceptable behaviour or where unreasonable breakages or damage occurs or where smoking restrictions are not observed.

Booking

17 Reservation requests should be made through the Cuckoo Barn Lodge website and should include your permanent address and contact details together with details of your party. We may also receive requests by phone or email. If  your reservation request is approved by us and we send you an invitation to book, payment of the required amount should be made within two days to secure your booking. If payment is not received within two days then your reservation will lapse. We reserve the right to take alternative bookings until the required amount has been received.

18 We reserve the right to decline a reservation request without giving a reason or require a Cautionary Deposit (see condition 27).

19 If your stay starts within six weeks of the date you make your booking, you are required to pay the total price at the time of booking.

20 If your stay starts more than six weeks from the date you make the booking, you are required to pay a deposit of one third of the cost of your stay (or £100 per booking, if greater) at the time of booking.

21 If prices have not yet been fixed for the period booked, then the deposit is one third (or £100 per booking, if greater) of the current price for an equivalent period (not necessarily the same dates). Please note the deposit secures only the booking and not the price. In some cases prices may change considerably. The price will not alter if you pay in full at the time of booking (we may make specific exceptions to this).

22 Bookings must be for our normal booking periods and will not be for fewer than three days or for more than three weeks. In the case of bookings for more than one week, we provide linen and towels but no cleaning for each successive week, but will only remake beds with the new linen if you ask for this one month before your holiday.

23 If you pay a deposit, the balance must be received at least six weeks before the beginning of the period booked. We do not undertake to remind you and if we do not receive the balance when due, we shall, with regret, cancel your booking and you will lose your deposit.

24 Any optional extras such as Pilates or dinner in the Breeze hut must be made at least 48 hours in advance and paid in full at the time of booking.

25 We accept Maestro (if issued in the UK), Visa, MasterCard, direct transfer and sterling cheques drawn on a UK bank. Cheques should be made payable to Dick and Rosie Milton. All payments must be in sterling.

Loss or Damage

26 When you book, you agree to indemnify us against all loss and damage arising (including more than normally and reasonably anticipated amounts of cleaning) directly or indirectly to the property and its contents from any deliberate or negligent act or omission by yourself, or any person or animal accompanying you, and, without limitation of the foregoing to pay us forthwith upon written demand our costs in making good any such loss and damage and cleaning. Where we have to make a claim the amount involved will reflect the cost of making good damage (including the cost of recovering monies from you and an interest charge at 4% above bank base rate if you fail to pay the amount promptly on request.)

27 A Cautionary Deposit may be required against any loss and damage arising (including more than normally and reasonably anticipated amounts of cleaning) directly or indirectly to the property and its contents from any deliberate or negligent act or omission by yourself, or any person or animal accompanying you. Where we require a Cautionary Deposit the cost of any loss and damage will be deducted from the Cautionary Deposit and the remainder refunded to you within 4 weeks of the end of your stay. Where these Terms and Conditions have been complied with and where there is no loss or damage arising we will be pleased to refund any Cautionary Deposit in full within 14 days.

28 We reserve the right to pursue recovery of any additional loss or damage in excess of any Cautionary Deposit held in accordance with condition 26. We therefore strongly recommend that visitors hold personal insurance for accidental damage and personal liability.

29 If on arrival you discover that anything is missing or damaged then this must be reported to Dick or Rosie Milton immediately otherwise it will be presumed that you caused the damage or loss and a charge will be made. Please read and comply with the instructions contained in the welcome pack.

Problems during your stay

30 If you have any issues concerning the property during your stay you should notify Dick or Rosie Milton (Telephone 01780 460114 or 07768 708220 Email hello@cuckoobarnlodge.co.uk) as soon as possible. We will not normally make any refunds in respect of complaints made after the customer’s departure from the property if the customer did not make the complaint or problem known to the local contact during the stay. In considering any complaint we will take into account whether we have been given the opportunity to investigate it and the chance to put matters right.

31 If you cancel a booking for any reason, you must notify us in writing by email, fax or by post only. The following cancellation charges will apply:

  •  More than six weeks before start date: Your deposit
  •  Six weeks or less to start date or early departure: 100% of total rental

In addition, you will be responsible for any travel costs incurred by you in relation to the booking. We do not operate a cancellation insurance scheme and strongly recommend that you ensure that you have your own appropriate cover. We will charge a fee of £60 to reinstate any cancelled booking.

32 We may cancel a booking at any time before the date on which it begins. We would expect to do this only for essential building work or for some other reason unforeseen by us at the time your booking was accepted. In this unlikely event we shall refund in full all money received by us for the booking, but will not have any liability beyond this, and, without limitation of the foregoing, we will not have any liability for travel costs incurred by you in relation to the booking.

33 We accept no liability for any works or activity of any sort occurring on any premises adjoining or neighboring our property, nor shall we be responsible for making any enquiries about the likelihood of, or providing any information to you about, any such works or activity.

Access

34 Anyone with our authority may have access during your stay. This is unlikely to happen, but if it does, we will give you as much warning as we can. There will be no need for you to stay in, since we (or our representative) can accompany the visitor.

VAT

35 VAT is not chargeable on your booking. In the event of having to register, we reserve the right to amend our prices accordingly.

Limitation of Liability

Our liability to you and those accompanying you at the property is strictly limited to direct loss up to the amount paid by you on booking but this does not apply to our liability for:

a) Death or personal injury caused by our negligence;
b) Fraud or fraudulent misrepresentation on our part;
c) Anything else for which liability may not at law be excluded.

We shall not be liable to you at all for any indirect or consequential loss, whether caused by negligence, breach of contract or otherwise. We are also not liable to you for any noise or disturbance from neighbors or other activities outside the property (including agricultural and street noise).

Where we provide additional facilities such as games, barbecue, exercise equipment or studio, cycling or walking equipment, outdoor heaters or the use of the breeze hut, high chair, cot and stair gate or other similar facilities we will not be liable for any damages that occur as a result of their usage.

Changes to Terms and Conditions and Termination

36 While we are happy to discuss reasonable requests, Dick and Rosie Milton may only vary these Terms and Conditions in writing at the time we accept the booking and at our discretion.

37 We reserve the right to terminate a booking at any time if these conditions are not met in full.
